Start with the event brief
Guest count is only the first filter. A standing reception, seated meal, product presentation and family day use the same deck very differently. Share the event format, timings, key moments and any privacy requirements so the shortlist reflects the way the yacht must function.
Large yachts may also require more coordination at the marina. Supplier access, loading windows, entertainment setup and guest transport should be confirmed before the event day rather than handled as last-minute extras.

What a superyacht quote should cover
The proposal should identify the exact yacht, licensed guest capacity, charter window, boarding point, crew, route, standard inclusions and VAT. Event services such as chefs, premium beverages, décor, production and photography must be itemised separately.
For high-value bookings, we recommend one named decision-maker on the client side and one concierge contact. That keeps approvals, guest changes and supplier instructions in a single written record.

Discretion without vague promises
If guest privacy matters, state it during the first conversation. Photography restrictions, supplier access and confidentiality requirements can then be included in the operational brief. Specific contractual requests are confirmed in writing rather than implied by marketing language.
